An incorrect weight, an attachment left out of the measurements, a machine that will not start, or a delivery site with no room to unload can turn a planned move into extra labour, permit changes, detention charges, and missed project deadlines.

Before requesting a quote or confirming a pickup, gather the following information:

  • Machine make, model, serial number, and equipment type
  • Exact transport length, width, height, published weight details, and estimated actual transport weight
  • Photos from all four sides, plus close-ups of attachments and tie-down points
  • A complete list of buckets, blades, booms, counterweights, and loose components
  • Whether the machine starts, steers, brakes, and moves under its own power
  • The planned loading and unloading method
  • Pickup and delivery addresses, site contacts, and available time windows
  • Access details, including gate width, turning room, overhead clearance, grades, and ground conditions
  • Any known leaks, mechanical issues, or damaged securement points
  • The required delivery date and any project deadline tied to the move

This information affects the trailer, carrier, permits, route, loading plan, schedule, and price. Confirming it at the start is much less expensive than changing the plan after a truck has been dispatched.

Confirm the Exact Machine and Its Condition

Start with the machine identification. The make, model, serial number, and equipment type help the transport coordinator check manufacturer specifications and understand the machine configuration. However, a specification sheet should be treated as a reference, not a substitute for measuring the actual unit.

Machines are often modified during their working life. A different bucket, added guarding, oversized tires, or an aftermarket counterweight can change the transport profile and affect tie-down locations.

Confirm whether the machine is fully operational. If it does not start, steer, brake, or move under its own power, say so before the trailer is booked. A non-running machine may need a winch, crane, forklift, rigger, or different trailer configuration. Discovering that at pickup can cause hours of delay or make loading impossible.

Measure the Transport Profile, Not Just the Machine

Transport planning is based on the dimensions and weight of the machine in the configuration that will travel. Measure the machine on level ground in the exact configuration in which it will travel. The carrier must then calculate the complete loaded height from the road surface to the highest point of the truck, trailer, or load, accounting for trailer deck height and posted clearance restrictions. Under British Columbia's Commercial Transport Regulations, the normal maximum loaded height is 4.15 metres and the normal maximum outside width is 2.6 metres.

Do not estimate dimensions from memory. Even a small difference can affect legal limits, trailer selection, escorts, and route clearance. Provide the manufacturer's published operating or shipping weight and identify everything included in that figure. Confirm the machine's estimated actual transport weight after accounting for installed attachments, counterweights, guarding, fluids, and removable components.

Take clear photos from the front, rear, and both sides. Include the data plate, attachments, undercarriage, tie-down points, and anything that changes the machine's width or height.

Decide How Attachments and Loose Components Will Travel

Buckets, blades, rippers, forks, booms, counterweights, guarding, and other removable components need to be identified before the move. Some can remain attached and be lowered into a safe transport position. Others may need to be removed to reduce height, width, length, or total weight.

A removed attachment still needs to be lifted, secured, and transported. Provide its dimensions and weight so the coordinator can determine whether it can travel with the machine.

Check the machine for loose panels, tools, debris, personal items, and unsecured accessories. Follow the manufacturer's shutdown and transport instructions for booms, articulated sections, hydraulic locks, battery isolation, and other machine-specific systems. Do not make assumptions about draining fuel or fluids. Confirm any carrier, manufacturer, or cross-border requirements first.

Provide Enough Information to Select the Right Trailer

The shipper does not need to choose the trailer, but accurate information is essential. Lower-profile equipment may fit on a flatbed or step deck. Taller or heavier machines may need a lowboy, removable gooseneck, multi-axle configuration, or double drop trailer.

Deck height can be just as important as trailer capacity. A trailer that can carry the machine's weight may still create an overheight load. The loading method matters too. A machine that can drive onto a removable gooseneck has different requirements from one that must be craned or winched into position.

Build Permit and Route Planning Into the Schedule

If the complete loaded vehicle exceeds applicable size or weight limits, oversize or overweight permits may be required. Depending on the loaded dimensions, route, and permit conditions, the shipment may also require pilot vehicles, oversize signs, flags, lighting, restricted travel hours, traffic-control support, or additional approvals. Requirements vary by province and by the exact truck, trailer, axle, and load configuration.

British Columbia issues commercial vehicle permits through its commercial vehicle permitting systems. Alberta uses its own oversize and overweight permit process. A move crossing from BC into Alberta therefore needs planning that accounts for both jurisdictions.

Provincial permits cover only highways under provincial jurisdiction. Separate municipal, private-road, forest-service-road, port, utility, or work-site approvals may also be required. Seasonal restrictions, bridge capacity, construction, mountain conditions, and site access can affect the workable route. The shortest route on a map is not always a legal or practical heavy-haul route. Complex moves may require more lead time for route reviews, permits, escorts, or utility coordination.

Prepare the Pickup Site Before the Carrier Arrives

A transport plan can still fail if the truck cannot reach the machine. Confirm gate width, road condition, turning radius, overhead wires, branches, parked vehicles, loading space, grades, and ground stability. A loaded heavy-haul combination needs more room to enter, position, and leave than a pickup truck or service vehicle.

Clear the loading area before the appointment. Have the operator, keys, manuals, and support equipment ready. If a crane, forklift, rigger, or mechanic is needed, confirm availability during the carrier's loading window.

Clean excessive mud, snow, ice, or debris from the machine when practical. This makes inspection easier and reduces material falling onto the road. Check for active fluid leaks and repair or disclose them before pickup. A leak discovered during loading may create a safety or environmental issue that stops the move.

Prepare the Delivery Site With the Same Care

Delivery planning is not complete when the truck reaches the correct address. The carrier still needs a safe place to enter, position the trailer, and unload. Confirm gate access, turning room, surface conditions, overhead clearance, unloading equipment, and who has authority to accept the machine.

Conditions at a construction site, mine, farm, or industrial facility can change quickly. Ask the site contact to reconfirm access shortly before delivery.

The receiving contact must know the arrival window and have the right personnel and equipment ready. Waiting for a crane, operator, or supervisor can create detention costs.

Document the Machine Before It Leaves

Create a condition record before loading. Take date-stamped photos from all sides and document existing damage, leaks, or missing parts. Keep the serial number, equipment description, contacts, and special handling instructions.

The operating carrier and driver are responsible for inspecting and completing the final cargo securement before highway travel. The shipper should disclose damaged or unusual securement points and provide applicable manufacturer instructions.

Do not sign incomplete shipping documents. Review the machine description and visible condition notes before departure, and keep the pickup documentation with your project records.

Reconfirm the Move 24 to 48 Hours Before Pickup

A short final check catches changes while there is still time to solve them. Reconfirm the machine location and condition, carrier arrival window, site contact, loading method, weather, access, and delivery arrangements. Tell the coordinator immediately if an attachment changed, the machine stopped running, or the site conditions are different.

Common Preparation Mistakes That Cause Delays

The same avoidable issues appear repeatedly in complex machinery moves:

  • Using brochure dimensions instead of measuring the configured machine
  • Leaving buckets, blades, counterweights, or loose components out of the shipping profile
  • Reporting dry weight when the operating machine and attachments weigh more
  • Failing to disclose that the machine cannot move under its own power
